We don’t list a single price because real engagements aren’t one-size. But you deserve to know what you’re walking into before a sales call. Here’s how we scope, what drives cost, and what real engagements have looked like.

Important disclaimer: The platform pricing we mention — Salesforce, HubSpot, Zoho, etc. — changes constantly. Vendors raise prices, change tier structures, retire SKUs, and bundle differently every few months. Anything we quote about platform licensing is current as of the page’s last update but may be wrong by the time you read it. Always verify current pricing directly with the vendor.

Our consulting fees are more stable but also adjust over time. The structure on this page (how we scope, what drives cost) doesn’t change — just the numbers.

Engagement ranges by scope

Starter

$3K – $8K: Focused project

A single deliverable. Examples: clean up a misconfigured Salesforce instance, build 3-5 critical HubSpot automations, migrate from spreadsheets to a basic CRM setup, fix a specific reporting gap. 1-3 weeks. Good for: small teams with a clear pain point.

Standard

$8K – $20K: Full implementation

End-to-end CRM setup: discovery, process mapping, platform configuration, data migration, basic integrations, training. 6-10 weeks. Good for: businesses going from spreadsheets to CRM, or replacing a legacy system.

Complex

$20K – $40K: Custom & integrated

Custom objects, complex automations, ERP/accounting integration, multi-platform setup (HubSpot for marketing + Salesforce for sales), multi-team rollout. 10-16 weeks. Good for: growing businesses with real complexity.

Enterprise

$40K+: Multi-phase or platform development

Custom HubL/Apex development, multi-org migrations, complex data architecture, ongoing platform development. 4-9+ months, often phased. Good for: complex businesses, multi-entity orgs, or platform overhauls.

Managed

$1.5K – $5K/mo: Ongoing care

Monthly retainer for admin work, user changes, small enhancements, reporting updates. No big project, just steady care. Good for: businesses post-launch who want a fractional CRM admin.

Discovery

$1.5K – $3K: Standalone discovery

Process mapping, platform recommendation, scope document — without committing to a build. Sometimes paid; sometimes credited against the build if you proceed with us. Good for: businesses still deciding whether to migrate.

Pricing follows scope, not the other way around. We don’t price by user count, license tier, or whatever your last vendor charged. We price the work in front of us — how many processes need mapping, how many users need training, how much data needs migrating, how many integrations need building. The number reflects the actual work, and the work reflects what your business actually needs.

  1. $5,000 engagement: "Fix My Salesforce"

    A family business with a half-broken Salesforce instance from a previous consultant. Scope: audit current configuration, fix data model issues, rebuild 4 broken Flows, set up correct user permissions, train 3 users, document the resulting system. 2 weeks. 30 hours of work.

  2. $12,000 engagement: HubSpot from scratch

    A 15-person professional services firm moving from spreadsheets. Scope: 2-week discovery and process mapping, HubSpot Professional implementation (sales pipeline, deal stages, properties, 8 workflows, lead scoring), migrate ~2,000 contacts and 400 deals, set up reporting dashboard, train team in two sessions. 7 weeks. 70 hours.

  3. $25,000 engagement: Salesforce + QuickBooks integration

    A 40-person manufacturer. Scope: full Salesforce Sales Cloud implementation with custom objects for products and quotes, migration from a legacy CRM, bidirectional QuickBooks Online integration (customers, invoices, payments), custom reporting, training across sales/ops/finance. 12 weeks. 140 hours.

  4. $45,000 engagement: Multi-platform rollout

    A 75-person SaaS company. Scope: HubSpot Marketing Hub Pro + Salesforce Sales Cloud Enterprise integrated together; custom HubSpot/Salesforce sync rules; product usage data flowing in from Segment; lead scoring; SDR-to-AE handoff workflow; full reporting layer. 4 months across two phases. 280 hours.

  5. $3,000/month managed services: Post-launch care

    A 30-person retail company who launched with us 6 months ago. Monthly scope: user provisioning/de-provisioning, 4 hours of small build requests, monthly reporting review, quarterly process review. No long-term contract; cancellable monthly. 12-15 hours per month.

Frequently asked questions

Why don’t you just list a price?

Because CRM implementations aren’t commodities. A 5-user HubSpot setup and a 50-user Salesforce build with custom objects and ERP integration are different projects by an order of magnitude. We’d rather be honest about ranges than fake-precise about a single number.

How do you scope before we sign anything?

Free 30-minute discovery call. If it looks like a fit, we’ll quote a scoping engagement ($1.5-3K, sometimes credited against the build). The scoping engagement produces a written scope document with deliverables, timeline, and a fixed price for the implementation. You’re free to take that scope and go elsewhere — though most clients don’t.

Is the price fixed or hourly?

We do fixed-price for defined scopes (most engagements) and hourly only for open-ended work like managed services or change orders mid-project. Fixed price is better for you because it caps your risk.

What about platform licensing costs?

Those go directly to the vendor (Salesforce, HubSpot, etc.) and are separate from our consulting fees. Platform licensing changes constantly — tier structures shift, prices adjust, bundles change. We’ll help you evaluate and choose, but we don’t resell licenses. Always verify current platform pricing directly with the vendor.

Do you work month-to-month?

Yes, our managed services tier is monthly with no long-term contract. Implementation projects are scoped as projects, not retainers.

What if scope creeps mid-project?

We document it as a change order with new scope and new price. You approve or decline before any extra work happens. No surprise invoices, ever.

Do you give multi-project discounts?

Yes. If you commit to a multi-phase engagement (e.g., implementation + managed services), we typically structure 10-15% off the implementation in exchange for a managed services commitment.

When do I pay?

50% to start, 50% on completion for projects under $20K. Three-payment structure for larger projects (25% kickoff, 50% midpoint, 25% completion). Managed services billed monthly in advance.
